In Heartland Retail, there are two ways to change the balance of a gift card: (1) issuance/redemption at the POS and (2) manual adjustment to the balance using a gift card adjustment in Heartland Retail. This article explains how to manually adjust the balance of a gift card via a gift card adjustment.
Issuing a new gift card without a prior balance
Hover over "Sales" in the top navigation menu.
Select "Gift Cards"
Click the "Issue" button.
This will bring you to this gift card issuance popup:
To issue a new gift card:
Type or scan in the gift card number.
Enter a new balance for the gift card.
Choose a gift card adjustment reason. (See this article to learn how to create gift card adjustment reasons.)
Click the "Issue Gift Card" button.
Congratulations, you have successfully added funds to a gift card.
Modifying the balance of an existing gift card
To modify the balance of an existing gift card, you need to first look up that gift card.
Hover over "Sales" in the top navigation menu.
Select "Gift Cards"
Enter the gift card number of the gift card you would like to adjust in the search box and click the "Find" button.
This will bring you to the gift card page:
To adjust the balance, click the "Adjust" button in the upper right corner of the page.
This popup will appear:
In the resulting popup:
Choose a gift card adjustment reason.
Enter an adjustment amount. To reduce the balance of the gift card, enter a negative number. To increase the balance, enter a positive number.
Below the adjustment amount field, you will see the resulting balance of the gift card once the adjustment is complete.
To complete the adjustment, simply click the "Complete" button.
