This document outlines how to open and close the drawer in Heartland Retail’s POS.

Opening the Cash Drawer

The first time you visit the POS, or any time you visit the POS when the drawer is closed, you will land on the "Open Cash Drawer" page, which is where you are required to enter the count of the drawer in order to use the POS.

  1. In the bill and coin fields on the above page, enter the quantities of the bills and coins you currently have in your cash drawer.

  2. Click the “Open Drawer” button.

If your entered count doesn't match the drawer's current balance in Heartland Retail, Heartland Retail will tell you the dollar amount you are either over or short. The user should then verify their count to make sure it is correct. If the count is correct and the drawer balance needs to be overridden, the user should then enter their name or initials into the “Approved By:” field and click the “Open Drawer” button again to proceed despite the variance.

Upon opening the drawer, you will land on the on Point of Sale home screen. You have successfully opened the drawer!

Closing the Cash Drawer

At the end of the day, the cash drawer needs to be closed. To close the drawer:

  1. Click “Close Drawer” link in the POS left menu.

You will be taken to a “Close Drawer" page.

  1. On this page, you should enter the total bills and coins that are currently in the drawer in the bill and coin fields.

  2. You should add any checks that were received during the day in the Check fields below the bill/coin fields.

Once you have counted the drawer and added your checks, the "Total Count" field will display the final balance of the drawer.

If your total count doesn't match the drawer's current balance, Heartland Retail will tell you the dollar amount you are either over or short. The user should then verify their count to make sure it is correct. If the count is correct and the drawer balance needs to be overridden, the user should then enter their name or initials into the “Approved By:” field and click the “Confirm Count” button again to proceed despite the variance.

Upon clicking "Confirm Count," you will land on the "Close Drawer" page:

On this page, you should record the cash and checks being deposited at the end of the day (the amount of money being removed from the drawer). Any check amounts you reported on the previous page will be automatically added to the "Total checks to be deposited" field.

If you have a cash drawer float set up, this page will tell you exactly how much cash to remove from the drawer in order to maintain that float.

5. Confirm the total amount of checks to be deposited.

6. Enter the amount of cash removed from the drawer.

7. Click the “Close Drawer” button.

You have successfully closed the drawer!
